These Terms of Use govern access to the Polirian website, award submissions, program materials, payments, and related services.

These Terms of Use (“Terms”) govern your access to and use of the Polirian website, https://www.polirian.com, and related award submission, communication, payment, recognition, and program activities operated by Polirian (“Polirian,” “we,” “our,” or “us”).
By accessing the website, submitting an award entry, making a payment, signing up for communications, or otherwise using Polirian services, you agree to these Terms. If you do not agree to these Terms, do not use the website or submit an award entry.
1. The Polirian Awards
Polirian operates an awards program recognizing real-world AI solutions, platforms, companies, and related business achievements. Award categories, eligibility requirements, judging criteria, deadlines, fees, and recognition details may vary by program, category, or award cycle.
Polirian may modify, suspend, close, extend, merge, rename, or discontinue award categories, deadlines, judging processes, recognition assets, or program features at its discretion.
2. Award Submissions
When submitting an award entry, you agree to provide accurate, current, and complete information. You represent that you have the authority to submit the entry on behalf of the company, organization, product, platform, or solution identified in the submission.
You are responsible for ensuring that your submission materials do not violate third-party rights, confidentiality obligations, employment agreements, customer agreements, nondisclosure agreements, intellectual property rights, privacy rights, or applicable laws.
Polirian may reject, remove, disqualify, or decline to review any submission that is incomplete, inaccurate, misleading, inappropriate, unlawful, submitted in the wrong category, received after the deadline, or inconsistent with program rules or category requirements.
3. Fees, Payments, and Refunds
Award submission fees, if applicable, are charged for the review and consideration of an entry. Payment does not guarantee selection as a winner, finalist, honorable mention, or other recognized participant.
Unless otherwise stated in writing by Polirian, all award submission payments are non-refundable once submitted. This includes entries that are not selected, entries submitted to the wrong category, entries later withdrawn by the entrant, entries that are disqualified, and entries submitted near or after a deadline.

4. Evaluation and Judging
Award submissions are evaluated according to Polirian’s category criteria, program standards, available supporting evidence, and overall fit for the applicable award. Judging may involve Polirian team members, reviewers, judges, contractors, consultants, or authorized program partners.
Polirian reserves the right to determine eligibility, category fit, finalist status, winner status, honorable mention recognition, and whether an award will be issued in a given category or cycle. Polirian is not required to provide scoring details, judge comments, comparative rankings, or individualized feedback.
Polirian may decline to name a winner if no submission meets the program’s standards or if a category does not receive sufficient qualified entries.
5. Publicity and Recognition
By submitting an award entry, you grant Polirian permission to use your company name, product name, logo, website link, submitted descriptions, approved quotes, images, and other public-facing materials for award administration, judging, winner announcements, finalist announcements, newsroom posts, website listings, social media, marketing materials, presentations, and other program-related communications.
If your company, product, platform, or solution is selected as a winner, finalist, honorable mention, or other recognized participant, Polirian may publicly identify and promote that recognition unless you notify us in writing before publication.
If you need to restrict use of a company name, logo, quote, image, or other material, you must notify Polirian in writing at the time of submission by emailing awards@polirian.com.
6. Confidential Information
You should not submit confidential, proprietary, sensitive, regulated, or non-public information unless you are authorized to do so and are comfortable sharing that information for award review purposes.
Polirian will make reasonable efforts not to intentionally publish materials that are clearly identified as confidential. However, award submissions may be reviewed by Polirian team members, judges, reviewers, contractors, consultants, or authorized program partners involved in program administration and evaluation.
Public-facing award descriptions, summaries, winner profiles, and announcements may be based on information provided in the submission, information approved by the entrant, or information otherwise publicly available.
7. Entrant Materials and Intellectual Property
You retain ownership of materials you submit to Polirian. By submitting materials, you grant Polirian a limited, worldwide, royalty-free license to use, reproduce, display, distribute, edit, summarize, and publish those materials as reasonably necessary to administer the awards, evaluate entries, announce recognition, and promote The Polirian Awards.
You represent that you have all rights, licenses, permissions, and approvals necessary to submit the materials and to grant Polirian the rights described in these Terms.
8. Polirian Materials and Website Content
The Polirian website, award names, program descriptions, badges, designs, graphics, written content, page layouts, criteria, and other materials are owned by or licensed to Polirian and are protected by copyright, trademark, and other intellectual property laws.
You may not copy, reproduce, modify, distribute, sell, or exploit Polirian materials without prior written permission, except for approved winner, finalist, or promotional assets provided to you by Polirian for authorized use.
9. Use of Award Badges and Recognition Assets
Winners, finalists, honorable mentions, or other recognized participants may receive official Polirian recognition assets. These assets may only be used in the form provided and only in connection with the specific company, product, solution, category, and award year for which recognition was granted.
Polirian may require correction or removal of recognition language, badges, logos, or promotional claims that are inaccurate, misleading, altered, expired, improperly attributed, or inconsistent with program guidelines.
10. Accounts and Security
If account functionality is available, you agree to provide accurate, complete, and current information. You are responsible for maintaining the confidentiality of your login credentials and for all activity occurring under your account.
You agree to notify us promptly of any unauthorized access, suspected security issue, or misuse of your account by contacting support@polirian.com.
11. Acceptable Use
You agree not to use the website or Polirian services to:
- Submit false, misleading, unlawful, defamatory, infringing, or unauthorized materials.
- Impersonate another person, company, product, or organization.
- Interfere with website security, availability, functionality, or performance.
- Attempt to access systems, data, accounts, or materials without authorization.
- Upload malicious code, spam, automated scraping tools, or harmful files.
- Violate applicable laws, regulations, third-party rights, or contractual obligations.
12. Third-Party Services and Links
The website may link to or integrate with third-party websites, payment processors, email platforms, analytics services, social platforms, embedded forms, or other tools. Polirian does not control and is not responsible for third-party websites, services, policies, practices, content, or availability.
Your use of third-party services may be subject to separate terms and privacy policies from those providers.
13. Disclaimers
The website, award program, content, submission process, and related services are provided on an “as is” and “as available” basis. Polirian does not guarantee uninterrupted access, error-free operation, specific award outcomes, business results, public visibility, search rankings, media coverage, or commercial benefits.
Polirian does not make warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, availability, or reliability, to the fullest extent permitted by law.
14. Limitation of Liability
To the fullest extent permitted by law, Polirian and its owners, employees, contractors, judges, reviewers, affiliates, and service providers will not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages, including lost profits, lost revenue, lost data, reputational harm, lost opportunities, or business interruption arising from or related to your use of the website, award submissions, payment processing, judging, recognition decisions, or program activities.
15. Indemnification
You agree to defend, indemnify, and hold harmless Polirian and its owners, employees, contractors, judges, reviewers, affiliates, and service providers from and against any claims, damages, liabilities, losses, costs, or expenses arising from your submission materials, your use of the website, your violation of these Terms, your violation of third-party rights, or your violation of applicable law.
16. Termination or Suspension
Polirian may suspend or terminate access to the website, submission process, accounts, services, or program participation at any time, with or without notice, if we believe you have violated these Terms, submitted inappropriate or misleading materials, misused recognition assets, failed to comply with program rules, or engaged in conduct harmful to Polirian or other participants.
Provisions that by their nature should survive termination will continue to apply, including payment obligations, publicity permissions, intellectual property rights, disclaimers, limitation of liability, indemnification, governing law, and dispute-related provisions.
17. Privacy
Your use of the website and submission of information are also governed by our Privacy Policy and, where applicable, our Cookie Policy.
18. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Utah, United States, without regard to conflict of law principles. Any disputes arising from or related to these Terms, the website, award submissions, payments, or program activities will be resolved in the courts located within Davis County, Utah, unless applicable law requires otherwise.
19. Changes to These Terms
We may update these Terms from time to time. Updates will be posted on this page with a revised “Last Updated” date. If changes are material, we may provide additional notice where appropriate. Continued use of the website or participation in Polirian programs after updates are posted means you accept the revised Terms.
